01 / Sort before you price

What changed, exactly?

Use a short job nickname instead of personal customer details. Loading the example replaces this draft. Nothing is sent to a customer, saved between visits, or imported into ScopeBid.

New tasks, areas, materials or visits that were not in the previous scope.

Tasks that are no longer requested. Do not assume a price reduction until costs are reviewed.

Original details that still apply, so the whole job is not accidentally redefined.

Open choices, access, quantities, timing or dependencies. An empty box does not mean approval.

02 / Read it back

A note to review.
Not an approved change.

0 of 4 categories filled

Unfilled categories are marked “Not recorded.” Before work starts, review price, timing and approval separately through your normal process.

03 / Catch the missing pieces

Four questions before a revised quote

  1. What is the new quantity? “One more room” may still need measurements, preparation and a materials list.
  2. What effort is already committed? Removing a task does not necessarily undo ordered materials or completed work.
  3. What happens to timing? Access, drying time, deliveries and an extra trip can change the sequence.
  4. Who confirms the final version? Keep the original scope and the revised scope distinguishable. This worksheet does not capture acceptance.
Why list what stays the same?

A change note should not force the reader to guess which earlier details still apply. Repeating the important unchanged parts helps make the revision understandable.

Is this a change order or a contract?

No. It is a preparation worksheet, with no signature, price calculation or approval record. Use an appropriate agreement and your normal approval process for the actual work.

Does the extra work preserve your margin?

Suppose a customer offers $480 to add one room. If the extra labour and materials cost $420, the change earns $60. But the margin on that extra work is only 12.5%.

On a $3,200 job with $2,080 in direct costs, accepting that offer raises gross profit from $1,120 to $1,180. The revised job’s margin falls from 35.0% to 32.1%. To keep the original margin, divide the extra cost by 0.65. That gives an extra price of about $646.15 before tax.

Open the one-page margin worksheet (PDF)

Use your own original price, original direct costs, extra price and extra direct costs. Add the two prices and the two costs. Subtract the combined costs from the combined price to get gross profit, then divide by the combined price to find gross margin. The percentage requires a positive combined price. The worksheet leaves room to record each figure.
