Shift swap request template & record checklist
Requested is not confirmed. Confirmed is not worked.
A shift swap has more than one version. Keep the original schedule, proposed change, confirmation and actual work clear enough to understand later.
Explore the three record states ↓Before asking
Identify the original shift with its full date, start, end, location or role if relevant, and the exact change you are requesting. For an overnight shift, put dates on both the start and the end so “Friday night” does not have to carry the meaning alone.
Check the process your workplace actually uses. A colleague’s willingness, a message receipt and an authorised schedule change may be different things. This page does not decide who can approve a swap or whether a particular arrangement is permitted.
After a response
Record the status and the source of the confirmation you actually received. If the answer is unclear, keep it marked as pending rather than treating silence as approval. Check that the current schedule matches the understanding before relying on the change.
Preserve a short before-and-after note instead of overwriting the original without context. You do not need unrelated personal explanations or entire conversation histories to understand which shift changed.
Template 1 · request
Ask for a specific change.
I am scheduled for [original full date, start and end time, role/location if needed]. I would like to request [specific proposed change].
[If relevant: the colleague involved has indicated they are available, subject to the required approval.]
Could you confirm the correct process and whether this change is approved? I will check the updated schedule before relying on it.
Adapt the wording to your workplace. This template is not a submission or an approval.
Template 2 · clarify an incomplete reply
Close the missing detail.
Thanks for the reply. To make sure I have the correct schedule, can you confirm whether I am now assigned to [full date and start/end time] instead of [original shift]?
I am keeping the change marked as pending until the details are clear.
Your private before-and-after note
Five fields to keep
- Original shift: full dates and times.
- Requested change: the proposed replacement or exchange.
- Status: pending, confirmed, declined or cancelled, according to the information you have.
- Confirmation reference: where and when the change was confirmed, without copying unnecessary personal information.
- Actual work: the start, end and breaks you later record from what happened.
Only the last field is a record of work performed. Even after a schedule change is confirmed, the actual start, end or break may differ.
Does swapping equal-length shifts mean the pay is identical?
This page makes no pay calculation. Equal scheduled durations alone do not establish equal pay; the relevant rates, workweek, premiums and applicable rules need separate checking. A swap record is not a legal or payroll determination.
Should I log a future swapped shift as completed?
A future schedule is not a record of completed work. Keep planned and completed entries distinct and record actual details after the work occurs. In EarnCheck, the verified app description says scheduled shifts are not counted until you confirm them.

Keep an independent record of the work you do.
EarnCheck: Shift & Pay Tracker records shifts and compares estimated gross pay with a pay statement. Free includes one job and a complete first pay period with unlimited shifts and a payday comparison. Optional Pro subscriptions add unlimited pay periods, multiple jobs and more features.
